What is an AI agency?
An AI agency is a company that builds, connects and runs AI systems for other businesses: assistants that answer customers, automations that move work between tools, and the checks that keep both reliable. It sells a working system for a specific job, not a software licence and not advice alone.
The same kind of company is also called an AI automation agency. That phrase has a second meaning: it is the name of a business model taught in online courses, where the aim is to start an agency. This guide is about the first meaning, the company a business hires.
Betterlane is an AI agency based in Dubai. Our first flow is built free in ten days, with a written scope; if it does not do what was scoped, the business pays nothing and keeps it.
How it works
It starts from one task
The agency asks which task costs the team the most time or the most customers, and scopes that one task in writing: what the system answers or does, what it never does, and who it hands to.
It builds from the business’s own information
Prices, hours, policies and procedures come from the business and are approved by it. An assistant answers only from that, and says so when it does not know.
It connects the tools the team already uses
The calendar, the CRM, the inbox, WhatsApp, the phone line. Most of the work is in these connections, not in the AI model.
It tests before anyone relies on it
Ordinary messages, odd messages and messages it must refuse. Each failure found before launch is one a customer does not meet.
It keeps a person in the loop
Anything unusual, sensitive or outside the scope goes to a named person with a summary, and the team can see what the system did.
It runs and checks the system afterwards
Models, prices and connected tools change. Someone has to watch the system, fix what breaks and report what it handled.
What it costs to run
An agency’s own fee depends on the job and is agreed before work starts; we do not publish prices. Whoever builds it, two things cost money to run: the AI model, billed by its provider for what it reads and writes, and, on WhatsApp, Meta’s fee per delivered message. Current third-party prices, with their sources, are on the AI automation agency page linked below.
When it is not worth it
- If a tool you already pay for does the job with its built-in automation, use that first.
- If the task happens a few times a month, a checklist is cheaper than a system.
- If nobody in the business can say what the right answer is, no agency can build an assistant that gives it. Write the answers down first.
- If you want to learn to build it yourself, a course or a freelancer who teaches fits better than an agency.
Questions
What is the difference between an AI agency and an AI automation agency?
In practice, none: both names describe a company that builds AI assistants and automations for other businesses. “AI automation agency” is also the name of a business model sold in courses, so the shorter name is clearer about the company you hire.
How is an AI agency different from a software house?
A software house builds custom software to a specification. An AI agency assembles a working system for one task from existing models and tools, and usually keeps running it.
How is it different from a freelancer?
A freelancer builds what you specify. An agency takes the scope, the testing and the running after launch as its job. For a single well-defined workflow, a good freelancer can be the better choice.
How is it different from a chatbot or automation tool?
A tool gives you the pieces, and your team assembles and maintains them. An agency does the assembling, the testing and the upkeep, on tools like those.
What should I ask before hiring one?
What will it do and never do, in writing? What does it answer from? Who gets the message when it cannot answer? How was it tested? What does it cost to run each month, and who fixes it when it breaks? If I leave, what do I keep?
