An AI virtual receptionist for a dental clinic: what it does and what it does not

An AI virtual receptionist is an assistant on the clinic’s WhatsApp that answers patients at any hour with what the clinic has approved: hours, treatments, insurance plans, address. It offers times and, when connected to the clinic’s calendar, books the appointment; anything unusual goes to the team with a summary.

It does not replace the dentist or reception: it gives no diagnosis, promises no price the clinic has not set, and passes urgent and sensitive cases to a person.

How it works

  1. It reads what the clinic already publishes

The assistant is built from the clinic’s web pages and the rules the clinic approves.

  2. It answers at once, evenings included

Routine questions get the approved answer; nothing else is made up.

  3. It offers times and books

Connected to the clinic’s calendar, it offers free times and books the one the patient picks; without the calendar, it takes the request for reception to confirm.

  4. It passes the rest to the team

Urgency, complaints, treatment quotes and anything off script go to a person with a summary of the conversation.

  5. It reminds the patient

Appointment reminders can go out on WhatsApp as Meta utility messages.

What it costs to run

Third-party costs, not Betterlane’s: Meta charges per message the clinic sends on the official API. The figures are in the guide on what a WhatsApp message costs in Brazil.

What we learned building it

Our own systems and a fictional example clinic, October 2026

In seconds, from the clinic’s website
An assistant built from a fictional example clinic’s web pages answered a request for a Saturday evaluation in under 4 seconds, with two free times.
When the patient asks for a time that does not exist
Asked for 9 am, which was not among the free times, it did not invent one: it offered the free times again (8:00 or 8:30).
Booking straight into a calendar
Booking, moving and cancelling in a Google Calendar, with reminders, passed a test on our own systems on 28 September 2026.

When it is not worth it

  • If the clinic gets few messages and reception answers them all the same day, an away message is enough.
  • If every booking is made by phone and patients do not use WhatsApp, an assistant on WhatsApp has little to do.

Questions

Does the virtual receptionist book on its own?

Yes, when it is connected to the clinic’s calendar. Without the calendar, it takes the request and reception confirms.

Does it talk about prices?

Only what the clinic has approved. A treatment quote goes to the team.

What about urgent cases?

It points the patient to urgent care and alerts the team; it never gives a diagnosis.
